The Hospital EMS Coordinator and Emergency Management Specialist, which will report to the Physician Relations Team with local reporting to the hospital CBO and CNO is responsible for key tactical and operational enhancements for EMS services and oversees the “All-Hazard” approach to emergency response and recovery activities at AdventHealth Ocala. The primary responsibility of the position will concentrate efforts to ensure overall EMS satisfaction at AdventHealth Ocala. In order to maximize growth opportunities, the position will be filled by an experienced paramedic that is familiar with both cultural and operational needs of EMS leadership and crews. In addition, the role will provide design and implement disaster response to incidents involving AHO entities and personnel. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.
PRINCIPAL DUTIES AND JOB RESPONSIBILITIES-EMS Coordinator:
Responsible for planning and implementing visits to EMS stations, meeting with paramedics/EMT’s and working with Emergency Room staff to grow EMS runs.
Maintainin a minimum number of visits with EMS crews on a weekly basis.
Directly coordinate strategic efforts with Regional EMS Relations Reprentative and ER Director to ensure division and hospital goals are being met.
Provide ongoing clinical and operations feedback to EMS crews (i.e. STEMI and comprehensive stroke process review) and daily communication with fire stations and EMS crews
Focus on ensuring offload times are in line with hospital and EMS goals
Report on the activity level and outcomes of visits on a regular basis with leadership.
Conducts clinically relevant EMS training, such as physician lead stroke care education
Work with operations to resolve issues with effecincy, quality, service, or other concerns. Will document issues, participate in resolution and communicate updates to stakeholders.
Provide intelligence to appropriate hospital departments for process improvements requested or suggested by EMS/paramedics or other stakeholders.
Thoroughly understand why EMS/paramedics transport patients to our facilities and to our competition and why.
Create a list of all EMS companies and Emergency Rooms in the area. May consist of other hospitals, free-standing EDs, Urgent Cares, and sites of clincal services.
Participate in the development of growth and marketing plans.
Demonstrate knowledge of the hospital’s and competitor’s strengths and weaknesses within defined service lines.
Work with physicians, physician relations, department directors and administrator’s in our facilities to understand the needs and improve our relationship with local EMS.
Provides ongoing feedback to Regional EMS Representative to coordinate division wide EMS strategies
ADDITIONAL DUTIES AND JOB RESPONSIBILITIES-Emergency Management

Manages the Comprehensive Emergency Management Plans. This includes the management of Hazard Vulnerability Assessments (HVA’s) for all applicable areas.
Maintains good relationships with other departments in the hospital and interacts effectively with Emergency Management, Emergency Medical Service (EMS), Fire, and Police community agencies.
Maintains and educates an effective plan for all facilities in the arena of disaster response and emergency management.
Plans and coordinates at least 2 drills annually at each hospital with one being a mass casualty event and one being an internal event. One of these will also be community-coordinated as per Joint Commission on the Accreditation of Healthcare Organizations (JCAHO)/Det Norske Veritas (DNV) guidelines.
Maintains accurate records of drills, critiques, community meetings, and real events. Engages with campuses for the completion of Corrective Action Plans associated with After Action Reports.
Participates in the Emergency Management Committee and facilitates its’ operation.
Participates and coordinates with community, state and federal partners/agencies on the management of grant activity.
Provides for and coordinates the required training for all hospital employees on basic emergency and disaster management. This includes venues such as Decontamination, Hospital Incident Command System (HICS), Emergency Codes, etc.
Follows and enforces appropriate safety policies including the appropriate use of Personal Protective Equipment (PPE), handwashing, and hazardous chemical handling. Demonstrates understanding and adheres to Chemical Hygiene plan and Infection Control policies. Employee job duties may include transport of hazardous waste from the point of generation to a designated secure storage area; employee will be required to complete initial training (prior to handling hazardous waste) and refresher training to include proper handling and transport of hazardous waste, and proper selection, use and disposal of personal protective equipment.
Identify, initiate and maintain contact with targeted EMS members.
Develop targets in assigned territory for the purpose of presenting services and fostering business relationships.
Manage prospect list and territory database for highest impact and to meet assigned goals.
Make face-to-face contacts and presentations to all current EMS stations and potential prospects.
Proactive field work with targeted EMS stations and their staffs to identify needs (needs assessment/profile) and begin a strategy for matching their needs with organizational offerings that benefit EMS station.
Regulary develop and present EMS focused clinical training identified through needs assment.
Develop relationship sales funnel with identified organizational resources to progress and further engage the referring EMS station with the hospital
Develop EMS station profiles to track market intelligence and potential of referral relationship between hospital and the EMS station.
Develop and coordinate team presentations with service line managers and specialist to referring EMS stations.
Regularly share service line enhancements with referring EMS stations on behalf of the organization.
Documents EMS station visits, contacts, issue resolution, and market intelligence in the customer relations management software.
Implement the hospital’s issue resolution process and ensure personal roles as liaison for information between parties.
Manage issues in objective fact gathering manner to ensure internal constituents receive adequate and appropriate information to act upon. Develop appropriate messages on behalf of organization about issues and value of solutions to EMS stations.
Provide information internally to facilitate EMS station access to service, issues resolution and to new services, hospital staff members or patient service offerings.
Act as liaison for customer service issues to ensure EMS station information is received by the correct operations or administrative staff member and that issue process is being managed proactively.
Utilize market intelligence in a quantified and prioritized report for leadership to ensure overall resource allocations to correct issues and for new products/services opportunities.
Work with senior management to learn strategic messages and services for position with referring EMS stations.
Relationship Management Process: The personal self-management of the relationship selling process-database, EMS station profiles, market intelligence and sales planning.
Develop and Manage Sales Plan:
Oversee all sales and strategies for tactical implementation of assigned goals.
Obtain, interpret and analyze EMS station information, e.g. utilization by EMS station of hospital services and services of competing hospitals, etc. in a timely and accurate manner. Concentrate on opportunities with EMS stations yielding the greatest return.
Identify key sales strategies to enhance referral relationships with the assigned EMS stations.
Effectively organize, assemble and arrange resources to meet goals.
Quantify tactics in activities and results for tracking and measurement of personal sales results.
Identify within the sales plan additional initiatives to support EMS station sales and organizational needs. Submit weekly, monthly and quarterly reports in approved format and within sales (Crimson) database system.
Responsible for correspondence and follow-up with EMS stations

Additional Knowledge and Skills-Emergency Management
Knowledge of the Incident Command Structure and the understanding of the interrelationships, responsibilities, goals and functions of local, state and federal government in planning and implementing emergency services.
Knowledge of Command Center/Emergency Operations Center functions at various agency levels.
Ability to communicate effectively and professionally, both verbally and in writing, to a wide variety of people and audiences.
The ability to prepare comprehensive detailed reports and plans. To read, interpret, comprehend and apply written and verbal policies, procedures, rules, regulations and laws.

Basic medical and hospital administrative knowledge to understand the aspects of emergency response within the healthcare structure.
Understanding of Emergency Management requirements as stated within National Fire Protection Association (NFPA), Det Norske Veritas (DNV)/National Integrated Accreditation for Healthcare (NIAHO), Center for Medicare & Medicaid Services (CMS) and other regulatory bodies associated with the healthcare industry.
Understanding of ISO and its application within Emergency Management.
EDUCATION AND EXPERIENCE REQUIRED:
A Bachelor’s degree in nursing
Minimum of five years of related experience (nursing, paramedic, business-related field)
LICENSURE, CERTIFICATION OR REGISTRATION REQUIRED:
Current Florida Nursing License
Valid Florida driver’s license and proof of automobile insurance to include liability and property damage coverage
